Primarily Remote Executive Assistant to CEO (NY or DC (ONLY)
A company formed in 2017 with a mission to invest in conservation and regenerative practices and powering us to a sustainable future for the benefit of nature is looking for an Executive Assistant to the CEO. This position is fully remote and will require the EA to meet with the CEO perhaps twice a month. The CEO goes between NYC and D.C. so the EA can be in either location. The firm has 12 employees and an entrepreneurial environment.
About the Job:
Coordinate and prioritize meetings and maintain calendar
Attend meetings, take notes and follow up on action items
Understand what the company does and represent the CEO when needed
Compose and edit e-mails, memos, and prepare communications on the CEO's behalf
Plan and attend events and meet with stakeholders
Research biographical and background information on new contacts prior to initial call with CEO or senior staff
Create and update calendar of events (confirmed events and/or possible future events)
Create reports and update internal databases
Assist in creating meeting agendas
Manage Board of Directors activities and meetings
Identify opportunities to improve processes and procedures
Execute special projects and other duties as assigned
Create presentations, spreadsheets and charts
Screen incoming phone calls delivering detailed, timely messages to the appropriate parties
Coordinate complex travel arrangements
Vet and prioritize the CEO's emails
Process expense reports
Send gifts
Some off-hour availability required
Occasional travel
About You:
Minimum of 7 years of experience in a related support position
BA/BS from a college or university (degree in Business or Economics a plus)
Excellent Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
Proficiency in the Adobe Suite
Comfortable interacting with government officials and high-level executives
Polished, professional demeanor and understanding of appropriate communication style when interacting professionally
Proactive go-getter; no task is too big or too small
Outstanding communication skills-written and verbal
